As everything is being digitized, so are our cabinets and vaults. In the tax and accounting world, physical documents have been transformed into digital formats.

To organize these digital files, we need a digital solution, and that’s where FileCabinet CS comes into the picture — it’s the modern version of our traditional file cabinets.

Designed for accountants, FileCabinet CS is a document management solution that saves paper and time. It is ideal for small and mid-sized businesses.

What types of documents can be stored in FileCabinet CS?

A versatile document management software, FileCabinet CS can store a wide range of files, such as scanned documents, emails, spreadsheets, and images. It is available both as an on-premise and cloud-based solution.

Another exciting feature of FileCabinet CS is its integration with other programs, such as UltraTax CS, Creative Solutions Accounting, Accounting CS, NetClient CS, Planner, Fixed Assets CS, ToolBox CS, Practice CS, Workpapers CS, and Engagement Manager, which are part of the Thomson Reuters CS Professional Suite.

Its pricing depends on factors such as several users and specific business needs.

How it works?

FileCabinet CS has been designed to manage documents and helps streamline the document so much that one can pull out the required documents in a second. Let’s find out how:

Storing documents: You can start by storing them in the FileCabinet CS, which helps organize them in one place.

Application and period: You can set up folders in the file cabinet. The mother folder will be the application folder; within that, create a period-based subfolder.

Automatic indexation is so simplified that each file page is identified with names and numbers (e.g., 1111, page 1). This feature comes in handy in streamlining financial statements, tax returns, W-2s, 1099s, invoices, fixed assets images, payroll reports, tax plans, etc.

Organize and Manage documents: FileCabinet CS makes handling many documents easier; it works like sticky notes for physical files. You can organize documents into folders or in view folders. Once the folder is in the system, you can segregate it by adding notes using text, images, audio clips, or photos. Finally, frequently used stamps can be saved for better access.

Also, finding client folders is extremely easy with this solution — key in a few letters of the client ID or name to access the documents. You can even search by document name, keywords, and more.

Embed Word and Excel: You can embed Word or Excel in it to edit them quickly later without exiting the file cabinet. For clutter-free work, you can archive documents that are not in use so they are not in the way of your work.

Easy document access and sharing: FileCabinet CS integrates with Virtual Office CS, which results in secure storage and neat organization of documents. Your team members and clients can access them from any computer, networked station, or directly within CS Professional Suite programs.

Remote access: In the post-pandemic world, remote work has become more prevalent, making access to documents from any time, anywhere, essential. With Virtual Office CS, you can access your documents and CS Professional Suite applications remotely.

Secured Sharing: It also makes sharing more accessible and secure. Documents are password-protected, and you can easily email or fax them to clients, banks, etc. The NetClient CS is integrated with FileCabinet CS, which allows clients to access their documents around the clock.

Image scanning and filing: FileCabinet CS simplifies the image scanning process — with just one click, you can find the scanned document and file it.

Place the document on a document scanner/feeder that complies with TWAIN standards, and then click the Scan button on the FileCabinet CS toolbar to import the scanned image into FileCabinet CS.

Arrange images, which is more straightforward — sort, arrange, and annotate pages within the scanned images, give a name to each group with keywords, and extract them during processing.

Simple Workflow: Whether offline file cabinets or digital, a consistent filing method is a must. In FileCabinet CS, each team member must follow the global filing structure and custom naming conventions.

The adaptable structure of FileCabinet CS facilitates the creation of different file cabinets for various types of data. Moving folder and document names from one data store to another is more straightforward.

This simple yet effective feature comes in handy in tracking history and maintaining a comprehensive and printable log that includes who completed each task for a client.

Key Takeaways

Automatic filing: This automatic filing solution identifies the client name, time stamp, application, and documents that are filed appropriately.

Track history: Automatically track the history of activities such as adding new clients, updating a document, etc.

Automated Document Index: From naming to numbering, it automatically indexes documents

Integration with other software: It can be easily clubbed with CS Professional Suite.

Conclusion

FileCabinet CS is a versatile tool that can store various file types and seamlessly integrates with other programs within the Thomson Reuters CS Professional Suite.

Its wide range of features, including automatic document indexing, user-friendly collaboration tools, and secure remote access assistance, make file management more effortless.

The bottom line is that FileCabinet CS is ideal for accountants and small—to medium-sized businesses that want to simplify document management in this tech-driven world.
